Summary
- Cancel any time, in two clicks, from the billing portal.
- Cancelling keeps your access until the end of the period you already paid for.
- We do not automatically refund partial months.
- If the service failed you — an outage, a bug that burned credits, a charge you did not authorise — we refund it. Ask.
- Unused credit packs are refundable; used ones are not.
Cancelling
Open Dashboard → Billing and use the Stripe customer portal. Cancellation takes effect at the end of your current billing period: nothing renews after that, and you keep full access until then. There is no cancellation fee and no phone call.
Deleting your account from Dashboard → Account also ends the subscription, but it is immediate and irreversible, and it forfeits any remaining credits. Cancel rather than delete if you may come back.
Subscription refunds
Subscriptions are billed in advance for the period you selected. We do not automatically pro-rate a refund when you cancel mid-period, because you keep the access you paid for until it ends.
We will refund a subscription payment where:
- You were charged after cancelling. Always refunded in full.
- A renewal caught you by surprise and you have not used the period. If you contact us within 7 days of the charge and have consumed only a negligible number of credits, we refund it.
- The service was materially unavailable for a significant part of the period.
- Duplicate or unauthorised charges. Always refunded.
We generally do not refund a period you have used substantially, or a plan bought by mistake once the credits are gone. If your situation sits somewhere in between, write to us and explain it — we would rather be fair than technically correct.
Credit packs
- Pack credits do not expire, and are consumed only after your monthly allowance runs out.
- An entirely unused pack can be refunded within 14 days of purchase.
- Once credits from a pack have been spent, the pack is non-refundable — the underlying provider cost has already been incurred on your behalf.
- Packs are not refunded on account deletion or cancellation.
When we got it wrong
If our software consumed credits it should not have — a retry loop, a failed session that still billed, a charge for a response you never received — that is on us. We restore the credits, or refund the payment if credits are not the right remedy. You do not need to argue the point; tell us roughly when it happened and we will look at the usage log.
Note that we do not refund credits spent on answers you did not find useful. The model can be wrong, the transcription can mishear, and the provider charged us either way. That risk is disclosed in the Terms and is part of what the free tier exists to let you evaluate first.
Disputes and chargebacks
Please contact us before opening a chargeback. A chargeback freezes the account while the bank investigates, which usually takes far longer than a refund would have. If a chargeback is raised for a charge we have already refunded, or in bad faith, we may close the account.
How to request a refund
Email support@meetingflow.app with the email address on the account, the approximate date and amount of the charge, and one line on what went wrong. We reply on working days, usually within one.
Approved refunds are returned to the original payment method. Stripe typically takes 5–10 business days to settle; local payment providers may differ, and we will tell you which applies.
Your statutory rights
Nothing in this policy limits rights you have under the consumer law where you live, including any statutory cooling-off period. Where local law gives you a stronger remedy than this page describes, that law wins.
